The Eastern Europe Country Management Unit (ECCEE), which covers Ukraine, Moldova, and Belarus, is recruiting a Team Assistant based in Kyiv, Ukraine, to provide administrative, logistical, and coordination support to the World Bank portfolio.
The Team Assistant will report directly to the ECCEE Operations Manager, work closely with task teams, government counterparts, development partners, and other stakeholders, as needed.
The responsibilities below reflect typical Team Assistant functions and may be assigned in whole or in part depending on business needs, workload, team arrangements, and the specific requirements of the role.
Key Responsibilities
Responsibilities may include, but are not limited to, the following:
• Provide day-to-day administrative and logistical support to the Ukraine Country Office and relevant task teams, including scheduling meetings, organizing workshops and events, preparing meeting materials, coordinating calendars, and supporting follow-up actions.
• Support visiting WBG missions to Ukraine, including coordination of mission schedules, meeting arrangements, transport, accommodation, access to office facilities, logistical notes, and liaison with government counterparts, development partners, and other stakeholders, as needed.
• Assist with travel arrangements and related logistics for staff, consultants, and mission teams, in line with World Bank procedures and Ukraine Country Office requirements.
• Support budget preparation, monitoring, payment processing, procurement actions, and other administrative processes, ensuring timely follow-up and proper documentation.
• Assist the Operations Manager, task team leaders, and specialists in preparing materials and deliverables, including stakeholder mapping, background research, meeting notes, presentations, correspondence, and preliminary analysis.
• Maintain and periodically update relevant databases, contact lists, filing systems, mission records, and other team or country office information repositories.
• Draft, format, and quality-check correspondence, briefs, reports, presentations, tables, and other documents as required.
• Coordinate with relevant internal World Bank units, including operations, procurement, financial management, security, travel, resource management, and administrative teams, to facilitate smooth implementation of country office and project activities.
• Support coordination with external stakeholders, including government institutions, development partners, consultants, vendors, and service providers, as requested.
• Assist with the organization of official meetings, workshops, consultations, and events, including venue arrangements, interpretation/translation support, participant lists, invitations, materials, catering, and post-event documentation.
• Support proper filing, record keeping, and compliance with applicable World Bank administrative policies, procedures, and standards.
• Perform other administrative, logistical, and coordination duties as assigned by the ECCEE Operations Manager.
Selection Criteria
Attention : Preference will be given to local talent, that is, applicants that are authorized to work in the duty station for any employer. Internal applicants may apply per existing guidelines.
• Bachelor’s degree or diploma in administration, business, accounting, project management, public administration, international relations, or another relevant field.
• Relevant work experience in administrative, logistical, operational, or project support, preferably in an international organization, development institution, government-facing environment, or donor-funded project.
• Prior experience supporting development programs, emergency response, reconstruction, public sector reform, or Ukraine-related operations would be an advantage.
• Strong computer literacy, including proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Teams, and other standard office applications.
• Strong organizational skills, attention to detail, and ability to manage multiple tasks and deadlines in a fast-moving environment.
• Good written and oral communication skills, including the ability to draft clear correspondence and prepare well-formatted documents.
• Ability to work independently, take initiative, and follow through on assignments with limited supervision.
• Ability to work effectively as part of a team and interact professionally with staff, consultants, government counterparts, development partners, and external stakeholders.
• Fluency in English and Ukrainian is required.
• Familiarity with World Bank systems, procedures, or administrative requirements would be an advantage.
