Reporting Associate
Organizational Setting and Work Relationships
The Reporting Associate will fulfil internal and external reporting requests. S/he is supervised by the Reporting Officer or another professional staff depending on the staffing structure of the Office. The incumbent receives regular guidance and advice from the supervisor. Advice and operational support may also be received from other senior staff and support units at the Country Office / HQ. The incumbent will establish strong liaison with both internal and external parties, including Donors, UN Agencies, and Implementing and Operational partners.

Duties
- Stay abreast with the operational developments and assist in the preparation of briefing notes and reports.
- Assist in consolidation of data and facilitate the preparation of periodic reports including Sitreps, Fact Sheets and other activity specific reports.
- Liaise with internal and external partners to gather information.
- Work closely with Information Management Unit to ensure accurate and standard data presentation.
- Assist in the development of funding submissions, appeals and reports.
- Prepare and distribute meeting minutes.
- Consolidate and provide inputs for donor reports.
- Enforce compliance with reporting requirements.
- Support the identification and management of risks and seek to seize opportunities impacting objectives in the area of responsibility. Ensure decision making in risk based in the functional area of work. Raise risks, issues and concerns to a supervisor or to relevant functional colleague(s).

Operational Context
The World Bank-UNHCR Joint Data Center on Forced Displacement (JDC) was established in Copenhagen, Denmark, in October 2019 and is an instrumental operational part of the overall cooperation between the World Bank and UNHCR. Its mission is to enhance the ability of stakeholders to make timely and evidence-informed decisions that can improve the lives of refugees, IDPs and stateless people and their hosts. The JDC originates from the Global Compact for Refugees and is central to accelerating sustainable responses to forced displacement and to achieving the 50by35 target. The JDC is staffed equally by the World Bank and UNHCR and consists of 15 persons, including 6 senior technical expert personnel (3 economists, 1 data scientist and 2 statisticians), 1 communication, 3 program/reporting/admin, 2 interns and the Head and Deputy Head. The Reporting Associate is responsible for supporting the monitoring, reporting and resource management requirements for the nearly 60 activities under the JDC’s work programme and with a particular focus on the 40 UNHCR-budgeted activities in the field and at HQ. Responsibilities also include contributions to the UNHCR core and specific budget planning and reporting processes, fundraising/donor management and scoping of new activities.
Desired Candidate Profile
- Smooth and high-quality support to the delivery of JDC management, donor, JDC Management Committee and internal UNHCR reporting to ensure JDC´s accountability and efficiency. Must have experience with fact finding, consolidation of information for the preparation of briefing notes and periodic reports for an executive group/management committee, development of fundraising reports, inputs for donor reports, financial reporting as well as internal and external reporting and communication within and outside UNHCR.
- Strong experience with administrative and resource management related reporting. This includes monitoring and analysing the use of budgetary resources and staffing requirements of the Bureau/Division/Section by maintaining related control records and running reports; Preparing correspondence, memoranda, evaluations, justifications, and consolidating various reports, as required, on general administrative or specialized matters;
- Performing tasks related to records keeping, data management, file management and producing statisticts on covered subjects; Data consolidation and facilitating the preparation of periodic reports for financial coherence and resource management, in collaboration with other colleagues.
-Solid project/programme management skills and a process optimization mindset.
- Team collaboration and ability to juggle multiple tasks is required when supporting the entire WB-UNHCR team as one team.
- Service-oriented mindset with experience of general office management and coordination of meetings and ongoing processes.
- Solid understanding of UNHCR resource management, Work Programme and portfolio management, including scoping of new activities.
- Good knowledge of UNHCR administrative and financial rules and regulations.
- Solid experience with UNHCR specific budget planning and reporting processes.
- Strong experience with internal and external communications.
- Experience working in partnerships between UN agencies.
- Exposure to work with socioeconomic data and evidence as well as sustainable responses.
- Experience working with UNHCR in Copenhagen is desired.
