Responsibilities
The Regional Coordination Technical Officer provides high-level coordination, administrative, and technical support to the MENA Regional Team, with primary support to the MENA Management Team (MMT) and wider Regional Management Team. The role supports the effective planning, coordination, and follow-up of regional priorities, meetings, strategic initiatives, internal communication, and regional and global reporting processes.
The position plays an important role in facilitating collaboration between the MENA Regional Team, Country Offices, Head Office, and other stakeholders through strong information management, coordination, and administrative support across regional functions and initiatives.
The role also provides coordination and technical support to operational support functions in the region, including Health, Access and Safety (HAS), through support to regional planning, trainings, reporting processes, compliance tracking, information management systems, and communication platforms. The position contributes to strengthening regional coordination, operational consistency, and timely follow-up across MENA while handling sensitive and confidential information with professionalism and discretion.
Generic Responsibilities
- Provide high-level executive and administrative support to the MENA Regional Team, including calendar management, prioritisation of engagements, meeting preparation, documentation, and follow-up on action points.
- Coordinate internal communication, information sharing, and collaboration between the MENA Regional Team, Country Offices, and Head Office to support effective decision-making and implementation.
- Prepare, consolidate, and maintain reports, trackers, briefing materials, presentations, and other management documentation as required.
- Ensure effective information management, document control, and maintenance of relevant filing systems, databases, SharePoint sites, and communication platforms.
- Coordinate logistical and administrative arrangements for regional meetings, workshops, seminars, missions, and other regional events.
- Monitor follow-up on key management actions, deadlines, compliance requirements, and reporting commitments across relevant functions.
- Handle confidential and sensitive information with discretion and professionalism.
- Identify opportunities to improve administrative, coordination, and information management processes within the regional team.
- Compliance and adherence to NRC policies, guidance, and procedures, with specific responsibility for administrative and coordination processes.
Specific responsibilities:
- Coordinate MENA management meetings, strategy sessions, governance processes, trainings, and regional workshops, including agenda development, logistical arrangements, documentation, stakeholder communication, and follow-up on agreed actions.
- Provide direct coordination and administrative support to MENA Regional Team senior managers, including management of complex calendars, correspondence, priorities, and follow-up on key leadership actions.
- Maintain regional information management systems and coordination tools, including organisational charts, contact lists, distribution groups, SharePoint pages, communication platforms, planning calendars, and relevant regional trackers, ensuring information remains accurate and up to date.
- Prepare executive briefings, presentations, management summaries, reports, compliance trackers, and other materials for engagement with Country Offices, Head Office, and external stakeholders.
- Support coordination and follow-up of regional operational priorities, including Health, Access and Safety (HAS) planning processes, reporting requirements, training coordination, meetings, and related documentation, in collaboration with the Regional Team, Country Offices, and Head Office.
- Support regional monitoring and follow-up related to key compliance requirements, information-sharing processes, and relevant incident and operational tracking systems, escalating administrative matters as required.
- Plan and facilitate induction programmes for senior staff and regional team members, and provide support to crisis management teams, regional emergency coordination, organisational change processes, and cross-functional projects as delegated by line management.

- MENA Regional Management Team – to support executive coordination, decision-making, and follow-up on regional priorities.

Qualifications
Generic professional competencies
- Minimum 3 years of relevant experience in coordination, executive support, operations, programme support, or organisational management within an international organisation, humanitarian or development agency, diplomatic mission, multilateral institution, NGO, or similar complex operating environment.
- Strong skills in information management, reporting, planning, and the preparation of management documentation and executive briefings.
- Ability to work independently, manage multiple priorities, and exercise sound judgement with limited supervision.
- Relevant academic background in Business Administration, Management, International Relations, Public Administration, or a related field.
Context related skills, knowledge and experience
- Experience supporting governance processes, operational planning, compliance tracking, information management, and organisational reporting.
- Strong stakeholder management and coordination skills, with the ability to work effectively across geographically dispersed teams and organisational levels.
- Excellent written and verbal communication skills in English.
