Chemonics seeks a Sr. Associate, Program Mgmt for the USG Portfolio under the Supply Chain Management (SCM) team. The senior project support associate provides administrative and operational support to ensure compliance with donor regulations and corporate policies and assists with financial tracking for supporting global project(s). This role works closely with project support managers and project offices to maintain accurate documentation, process approvals, and support day-to-day project support functions.
Responsibilities:
Administrative and Compliance Support
• Track and process requests related to staffing, budget adjustments, and activity modifications.
• Maintain accurate project documentation in SharePoint and ensure compliance with corporate standards.
• Assist with onboarding and offboarding of staff, including employment agreements and allowance administration.
• Support procurement, grants, and contractual processes by preparing and reviewing documentation.
• Coordinate travel arrangements and expense reporting for employees and consultants.
Financial and Data Management
• Input and review financial data, including invoices, wire transfers, and expense reports.
• Support monthly budget reforecasting and prepare budget memos.
• Liaise with subcontractors and partners to process invoices and maintain compliance records
Project Support and Coordination
• Schedule meetings, prepare agendas, and capture notes.
• Serve as primary backstop for project office personnel on administrative matters.
• Respond to requests from corporate and project offices in coordination with managers.
Additional Contributions
• Participate in proposal teams in roles such as recruiter, cost preparer, or section writer.
• Contribute to technical practice activities and support new business efforts as needed. Any other duties as assigned
Requirements:
• Bachelor’s degree or equivalent and relevant work experience
• Minimum 2 years of relevant administrative or project support experience
• Familiarity with donor regulations and compliance processes preferred
• Demonstrated experience multitasking with attention to detail, organization, and time management skills
• Works independently and as part of a team
• Strong knowledge of Microsoft Office applications
• Willingness to travel for up to 8 weeks per year
