The Role
The Finance Assistant will provide overall program finance and accounting support to the Tonga Australia Support Platform (TASP), working closely with the Senior Finance Officer and the Director of Operations to support the effective management of financial operations. The position is responsible for ensuring the accurate, timely and compliant processing of financial transactions, maintaining financial records and supporting sound financial administration practices. The Finance Assistant also provides operational and administrative support to facilitate the efficient and effective delivery of TASP activities and programs.
The role will contribute to:
· Accurate and timely processing of financial transactions in accordance with TASP policies and procedures.
· Complete, accurate, and audit-ready financial records and supporting documentation.
· Compliance with internal financial controls, procurement processes, and organisational recordkeeping requirements.
· Effective financial and administrative support to the Operations Team.
· Efficient coordination of operational, logistics, and asset-related activities as required.
The Finance Assistant will provide direct support to the Senior Finance Officer in delivering financial administration and will assist with operational and administrative activities.
1. Financial Administration
· Process financial transactions accurately and in a timely manner using MYOB and other approved financial systems.
· Prepare and process EFT and cheque payment requests, ensuring all supporting documentation and approvals are complete.
· Verify invoices, payment requests, and financial documentation for accuracy and compliance with TASP policies and delegated authorities.
· Maintain accurate financial records, reconciliations, and supporting documentation.
· Ensure all financial documentation, approvals, payment records, and related correspondence are appropriately filed and maintained in SharePoint.
· Assist with the procurement of goods and services in accordance with TASP, DT Global, and DFAT procurement policies and procedures, including obtaining quotations, coordinating procurement documentation, liaising with suppliers, negotiating with service providers to achieve value for money where appropriate, and facilitating timely payments.
· Assist the Senior Finance Officer with the preparation and processing of staff payroll, including PAYE and National Retirement Benefits Fund (NRBF) contributions, and coordinate the collection and tracking of staff timesheets, leave requests, and other payroll documentation.
· Assist with month-end, year-end, audit, and financial reporting activities as required.
· Support compliance with financial policies, procedures, procurement requirements, and internal controls.
· Assist with finance-related coordination and administrative activities.
· Maintain financial registers and other finance-related records.
· Respond to routine finance and supplier enquiries.
· Work with the Senior Finance Officer to develop, maintain, and regularly update databases and registers, including TASP client, stakeholder, vendor, consultant, and technical adviser contact lists, ensuring information is accurate, current, and appropriately organised.
· Provide administrative support to the Senior Finance Officer and Operations Team as required.
2. Operational Support
· Assist with the coordination of operational and logistical activities, including travel, meetings, and events as required.
· Maintain vehicle, asset, and operational records in SharePoint and other organisational systems.
· Liaise with suppliers, service providers, and internal stakeholders to support operational requirements.
· Undertake other finance, administration and operational duties as reasonably directed by the Senior Finance Officer or Deputy Director – Operations

About You
Essential Experience, Capacities and Knowledge
1. Certificate, Diploma, or tertiary qualification in Accounting, Finance, Business Administration, or a related discipline; or equivalent relevant work experience.
2. Demonstrated experience in finance, bookkeeping, accounts administration, or a similar role involving financial transaction processing and records management.
3. Experience using accounting software and Microsoft Office applications, particularly Excel.
4. High level of numerical accuracy, attention to detail, and ability to maintain accurate financial records.
5. Demonstrated understanding of financial controls, confidentiality, and organisational policies and procedures.
6. Strong organisational and time management skills, with the ability to manage competing priorities and meet deadlines.
7. Well-developed interpersonal and communication skills, with the ability to work collaboratively in a small team.
8. Demonstrated integrity, professionalism, and commitment to delivering high-quality work.
Desirable
1. Experience using MYOB or similar accounting software.
2. Experience using SharePoint or electronic document management systems.
3. Experience working in a donor-funded program, NGO, government agency, or professional services environment.
4. Experience supporting procurement, finance administration, or audit processes.
5. Current valid Tongan driver's licence.
