Background:
The European Union (EU) has deployed an Election Expert Mission (EEM) to South Africa in view of the 2026 local government elections scheduled for 4 November, to assess the national legal framework for elections and its implementation in light of South Africa's international and regional commitments. The EU EEM, comprising four experts, will be in the country from 5 October to 16 November. DT Global implements the EEM on behalf of the EU. DT Global will contract the Administrative/Secretarial Support Assistant to the Team Leader/ Electoral Expert of the mission.
Under the Team Leader's supervision, the Administrative Assistant supports the Team Leader in her work.
Main Tasks and Responsibilities:
· Arranges appointments and maintains the mission’s calendar, places and screens telephone calls and answers queries with discretion;
· Organises various meetings with officials from national election authorities, relevant institutions, representatives of political parties, the media and civil society;
· Drafts non-substantive correspondence and ensures follow-up;
· Keeps lists of names, addresses and phone numbers of the interlocutors;
· Co-ordinates with EEM expert’s driver(s) in relation to scheduling and transport to and from EEM meetings with stakeholders; and
· Performs other duties as required.
Requirements:
- Completion of secondary education. A degree in political science, social sciences, international relations or a related field is an asset;
- Three years of relevant working experience, preferably as administrative assistant, secretary or office manager.
- Excellent written and oral communication skills in English;
- Full-time position: availability / flexibility should be ensured 6 days a week from 8 am to 5 pm;
- Be able to work independently from home and have own telephone and computer for this purpose and have the means to travel and move independently of the experts;
- Good computer skills;
- Maintain absolute discretion in the carrying out of all functions assigned by the Team Leader, including non-disclosure or discussion of information related to the work of the EEM with unrelated third parties.
- Demonstrated ability to work with people of different cultural and religious backgrounds, different genders, and diverse political views, while maintaining impartiality and objectivity;
- Demonstrated effective organisational skills and ability to handle work in an efficient and timely manner.
- Demonstrated ability to develop and maintain effective work relationships with counterparts.
