Scope of Work
Position : Supply Chain Operations Support (External Collaborator)
Department : Program Impact & Operations - Supply Chain
Location : Jakarta - National Office
Duration : 5 months
Objective:
To provide operational, analytical, and administrative support across procurement, logistics, and strategic supply chain functions, strengthening documentation, data management, compliance monitoring, and coordination to improve efficiency and service delivery within the Supply Chain Unit. The role is designed to provide structured hands-on experience to supply chain operations while contributing to ongoing system strengthening and performance tracking initiatives.
Key Responsibilities:
The external collaborator will support across all three functional areas:
1. Strategic Oversight & System Integration Support
- Assist in reviewing and organizing supply chain policies, SOPs, and templates.
- Support data consolidation for monthly performance reporting and KPI tracking (lead time, compliance rate, delivery performance).
- Assist in updating tracker tools (procurement tracker, contract database, asset register).
- Support documentation of process improvements and system integration initiatives.
- Provide administrative support for coordination meetings and strategic planning sessions.
2. Procurement Management Support
- Assist in preparation of procurement documents (PR tracking, RFQ/RFP templates, bid comparison sheets).
- Support supplier database updating and vendor documentation filing.
- Assist in monitoring procurement timelines and flagging delays.
- Support procurement compliance checklist preparation and audit readiness documentation.
- Coordinate with field offices to collect required procurement documentation.
3. Integrated Logistics & Support Services
- Assist in asset verification documentation and filing.
- Support warehouse inventory tracking updates and stock reconciliation documentation.
- Assist in compiling fleet documentation (vehicle logs, maintenance records).
- Support emergency stock tracking and reporting.
- Assist in consolidating logistics compliance documentation from partners and service providers.
Qualifications:
- Fresh graduate (Bachelor’s degree) in Supply Chain Management, Logistics, Business Administration, Industrial Engineering, or related field.
- Strong proficiency in Microsoft Excel (basic formulas, pivot tables preferred).
- Strong organizational and documentation skills.
- High attention to detail and willingness to learn.
- Ability to manage multiple tasks with supervision.
- Good written and verbal communication skills (English and Bahasa Indonesia).
- Integrity and commitment to compliance and ethical standards.
- No prior professional experience required; internship experience is an advantage.
Supervision & Learning Component
- Weekly check-in meetings with the Strategic Supply Chain Specialist.
- Exposure to procurement cycle, logistics operations, and system governance.
- On-the-job coaching and structured task delegation.
