TITLE: Finance Assistant – AP, Treasury & Archiving
TEAM/PROGRAMME: Finance LOCATION: Freetown
GRADE: 5 CONTRACT LENGTH: National
CHILD SAFEGUARDING:
Level 3: the post holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work country programs; or are visiting country programs; or because they are responsible for implementing the police checking/vetting process staff.
ROLE PURPOSE:
The purpose of this role is to support the Coordination Finance Department within the financial operation function that will enable the team to deliver efficient and compliant financial management support to the entire country program.
The Finance Assistant – AP, Treasury & Archiving will primary aim to support the Finance team as per the policy of the organization. S/He Ensure filling of the Finance documents both electronic and hard copies are properly done in the Finance Share point and the hard copies in the warehouse. Coordinate and manage the movement of vouchers from the field offices and Ensure they are properly archived in the warehouse
support the Assistant Financial Accountant in disbursements made to partners, suppliers and staffs are initiated by an appropriate source document and authorized and approved by Budget Holders within the Scheme of Delegation. Support to Check and ascertain the document receive from supply chain and programme staff accuracy and validity of documents against SCI policies and procedures that expenditures incurred are allowable, allocable and reasonable; support to ensure all payments are processed as per SCI financial guidelines, regulations and internal financial controls relating to disbursements in an efficient and effective manner.
SCOPE OF ROLE:
Reports to: Finance Coordinator
Dimensions: Save the Children works in 4 field offices in Sierra Leone coordinating from Freetown with a current staff complement of approximately 150 staff and current expenditure of approximately $10+ million each year.

KEY AREAS OF ACCOUNTABILITY :
ARCHIVING
• Ensure filling of ALL the Finance documents both electronic and hard copies are properly done in the Finance Share point and the warehouse.
• Ensuring safe security of pre-numbered printed vouchers with the support of the Assistant Financial Accountant-FCC
• Ensure monthly Scanning of Vouchers and uploading them into the share folder with supervision from the Finance Coordinator-FCC
• Coordinate the movement of vouchers from the field offices and Ensure they are properly archived in the warehouse
• Maintains the ledger book for pulling and returning of finance vouchers.
• Ensure to review vouchers received from field offices are correctly filed and there are no missing vouchers before filling them.
AP, Treasury
• Maintains the ledger books for receiving and returning documents to and from supply chain, programme staff and any other staff concern
• Ensure to update supplier list Every Tuesday and Thursday of the week
• Support the Assistant Financial Accountant in inputting expenses into the glacos
• Support the finance team with banking transactions when required.
• Support the Assistant Financial Accountant in disbursements made to suppliers and staffs are initiated by an appropriate source document and authorized and approved by SMT or Budget Holders within the Scheme of Delegation;
• Support in Ensuring purchase procedures are followed, all relevant source documents are correctly coded with proper complete codes;
• Assists in payments of withholding taxes, income taxes and other statutory payments to the concerned Government authority;
• Perform other related tasks as required.

QUALIFICATIONS
• Bachelor Degree from recognized University in Accounting or Finance.
• Knowledge of local laws of the country
EXPERIENCE AND SKILLS

• Relevant experience in related field
• Computer literate (i.e. WORD, advanced Excel, Outlook, Internet Explorer, financial systems such as AGRESSO
• Developed interpersonal and communication skills
• Ability and willingness to dramatically change work practices and hours, and work with incoming surge teams, in the event of emergencies
